Job Title: Workshop Service Coordinator

Salary: £23,000-25,000

Facilities By ADF plc have an exciting opportunity for a Workshop Service Coordinator to join their team.

Facilities by ADF provides serviced vehicle hire for television and film productions in the UK and Europe, specialising in on-location support for dramas and major features. We are currently recruiting for a Workshop Service Coordinator to join our logistics team based in Longcross, Surrey. The ideal candidate will have excellent organisational skills and be able to work under pressure, reacting quickly to customer needs.


Key Responsibilities:

– General administration support – responding to general inquiries by Phone & Email from both internal clients and the external supplier network.

– Booking and schedule workflow for the in-house mechanical teams.

– Booking and schedule workflow for the in-house maintenance teams.

– Maintain Vehicle Maintenance records on Fleet Management System

– Maintain Vehicle Maintenance filing systems protocols.

– Obtaining quotes for replacement component parts.

– Place official component orders with certified component suppliers.

– Allocate component costs to the relevant asset to enable maintenance budget review.

– Allocate Engineers times to relevant assets to enable maintenance hours budget review.

– Scheduling engineer visits to UK locations.

– Liaise with Account Managers and Heads of Departments to ensure they are fully appraised of scheduled visits.

– Liaising with Field Service Engineers to assist with their day-to-day duties.

– Liaise with the Fleet Team to ensure schedules are achieved.

– Produce Service reports.

– Produce component usage / cost Reports.

– Embrace a culture of continues process & system development.

– Attend various meetings as required.

– Experience of working in a service reception environment.

– Creative thinking and strong problem-solving abilities.

– Resilient, calm under pressure.


Excellent communications skills, verbal and written.

Experience of working in a fast paced and dynamic environment.

Knowledge of Microsoft Outlook, Excel, and Word.

Ability to work alone and within a team.

Ability to multitask efficiently within a dynamic and fast paced transport environment.

Desirable: Previous fleet or workshop administration experience
